Tracking information about the individuals and organizations involved with your non-profit is central to the successful growth of your mission.  With *VolunteerMatters you may track:

Contact and Biographical Information

Addresses
With Closerware's member management system you can track a number of addresses for your members.  You may also easily manage the types of addresses you would like to store (home, work, vacation, etc).  You can designate an address as the primary address to be used for that particular member in the case of mailing invoices, letters, or other announcements.

Telephone Numbers
You may store a number of telephone numbers for each member.  You may also manage the types of numbers you would like to store including home, work, cell, fax, pager, vacation home, and more.  You can designate a telephone number as the primary number to be used for that particular member.  You may also sort, filter and report on members based on their area code and prefix for calling campaigns.

Email Addresses
Store your members' email address so that you can utilize our built-in email utility or your own mail client.  Our system also qualifies the format of the email address to eliminate "bad addresses" and assure error-free email communications with your members.  

Skills and Interests
You may customize a list of skills and interests you would like to track for your members.  This information may be critical to placing individuals where you may have a specific need or in helping to group or connect individuals with commonalities.  For example, you could choose to track those members that have an accounting background to help with the finance committee or you may track all of those members that have an expressed interest in jogging for your annual 5K charity road race.  You may use these attributes in reports, searches, and mail merges.

Opt-in Mailing Lists
Your organization may publish targeted newsletters, emails, magazines or articles to which your members may opt-in.  With this feature you may track those members that have expressed an interest in receiving mailings of any type you may offer.  As with any field in the membership database, you can allow the member to modify these settings through your website.  To learn more, please reference the "My Profile" description later in this document.

Custom Fields

Every organization is unique in its own right.  There are endless possibilities for other types of information you would like to capture and analyze.  At any time, you may utilize your administrative tools to add custom fields to your database.  These custom fields are automatically added as options to all of your filters, reports, and communications. 

Status
Your organization may want to categorize members into one or more status types.  Your types may be as simple as active/not active or may include dozens of classifications.  We also track the dates and times a member switches from one status to another and keep a history of "status changes". 

Interactions

You may track the participation in events or programs as well as record any communications between the organization and the individual.  The system automatically logs communications generated from within *VolunteerMatters and volunteering that is managed via our system.
