Manage volunteer staffing schedules for fundraisers, community outreach projects, and other events. Your volunteers will be empowered to self-sign up for shift assignments, receive automated email reminders, and view individualized reports and "upcoming assignments" via the Web.
Create and Manage Shift Schedules
Publish an online volunteer calendar where you can create and manage shifts in bulk. When creating a shift you may define dates, descriptions, start and end times, and the number of people required for that shift. You may edit shift names, descriptions and status at any time and you may change shift dates and times assuming no one has already signed up for a shift. You may also easily review all open and filled shift slots and see which individuals are scheduled to work. Lastly, an administrator can flag those shift assignments where a member "did not show" along with comments. (see shift attendance tracking below)
Generate Reports An administrator may run reports on shift assignments for a particular category of volunteering or time period. An individual member may view and download reports on their personal shift assignments for the current year.
Volunteer Shift Dashboard When a volunteer logs into *VolunteerMatters, they are presented with a volunteering dashboard that provides an overview of their upcoming shift obligations, the status of their requirements, and a listing of all active volunteer schedules.
Sign-ups
When reviewing the graphical shift calendar, a user may click on a shift to view all of the shift details. Once clicked, the member can view the shift name, description, time period, the number of volunteers required, and a list of those members that have already volunteered for that shift. They are also presented with a “Sign-up” button to assign themselves to that shift. You may designate individuals with administrative rights on the volunteer calendar to allow them to manually add or remove another person’s assignment to a shift.
Withdrawing an Assignment When viewing a shift detail, if this was a shift for which the volunteer had previously been assigned, they would also be presented with an option to withdraw their assignment. The system does accommodate an adjustable "lockout period" to prevent individuals from withdrawing their volunteer assignments too close to the shift date.
Notifications Within the administrative system, you may designate one or more email addresses to receive notifications about shift assignments and withdrawals. The volunteers receive email confirmations at the time they sign up for a shift as well as an automated email reminder for the assignment three days prior to the shift.
Record Synch Our system automatically associates each shift assignment with the volunteer's record in the contact database. You may then run aggregate reports on past volunteering, future assignments, and "no-shows". With the Pro Edition you may also generate fulfillments to membership requirements based on a contact's volunteer activities.
Manual Shift Attendance Tracking With the standard edition of *VolunteerMatters, administrators can edit a specific shift assignment within the system to mark the individual as a "no-show". This with not only flag the shift but also prevent the volunteer from receiving "credit" for that assignment in on-screen and printed reports.
Automated Shift Attendance Tracking (Pro Edition) *VolunteerMatters Pro Edition enables you to scan barcoded sign-in sheets or ID cards to automatically track attendance to your events or facilities. You can track simple attendance with a single scan or record in and out times to calculate total time at a volunteer shift.
The service requires Symbol Technologies handheld scanning devices (purchased separately). The units can capture data in remote locations and store records until it can obtain wireless or Ethernet access to the Internet. Once connected to the Internet, the devices can synchronize with the *VolunteerMatters contact database to generate volunteer interactions and/or fulfillments to member requirements in the corresponding contacts' records.
