If your organization periodically assigns new responsibilities to members through a committee or board structure, *VolunteerMatters Pro Edition can help with the tracking and assignment of these roles. Our system allows you to define committee structures and record placements for current, past, or future periods.
You may choose to manage your organizational structure to any depth you would like. Once you have created your organization’s committee structure and created and activated seats within those committees, you may place individual members to those seats for a particular time period ("Placements"). The system allows an administrator the flexibility of having overlapping terms, or circumstances where two individuals may share a single term (i.e., an individual has to take a leave of absence, moves out of town, resigns, etc.)
You may also import past placements to seed the system with historical data, including placements to committees or seats that are no longer active (you can activate and deactivate committees and seats to accommodate changes in organizational structure).
There are several opportunities where you can generate on-screen and portable reports surrounding placements. Each opportunity allows you to set filters to include past, future, and/or current placements. You may also set filters on contact and biographical information (e.g., only include placements for active members who live in a certain zip code) and placement details (e.g. only include certain committees, seats, or types of placements).
In addition to reports, you can search for contacts based on their current placement for the purposes of sending targeted emails and generating letter merges. For example, the system makes it very easy to generate a broadcast email to all board members, or all individuals that hold a leadership position, or all members of a particular committee.
